FleetDoc (“the App”, “we”, “us”) is a fleet document-compliance app developed by
Gobaith Technologies that helps operators of vehicles, aircraft and
ships track document expiry dates and receive reminders. This Privacy Policy explains
what data we collect, how we use it, who we share it with, and your rights.

2. Information we collect
We only collect data you enter or that is needed to provide the service.
a) Information you provide (your fleet records)
- People details — names, phone numbers, ID/reference numbers, roles
- Vehicle/asset details — registrations, plate/registration numbers, types
- Document details — document type, document numbers, issue/expiry dates
- Document and profile photos you capture or upload
b) Account information (via Google Sign-In)
- Your name, email address, and Google profile photo
- A Google account identifier used to store and sync your data
c) Subscription & usage / technical data
- Your subscription plan (Free / Pro Solo / Fleet) and billing period
- App preferences (reminder settings, theme)
- Counts needed to enforce plan limits (e.g. number of AI scans used per month)
- Basic diagnostic logs (these never include document numbers or personal identifiers in production builds)
d) Advertising data (free plan only)
On the free plan, the App displays ads through Google AdMob. To serve and measure ads, AdMob collects an advertising identifier and device/technical information (such as device type, and approximate, non-precise information). Paid (Pro Solo / Fleet) users see no ads and no advertising data is collected from them. See Section 12.
We do not collect precise location data or your contacts, and we never share your fleet records, document numbers or photos with advertisers.
3. How we use your information
- To store, display and organize your fleet documents
- To calculate compliance status and send you expiry reminders (local device notifications)
- To scan documents and auto-fill fields using AI optical character recognition (OCR) — see Section 5
- To sync and back up your data so you can restore it on a new device
- To export your data to PDF/Excel/CSV or to a Google Sheet in your own Google Drive, at your request
- To process subscriptions and enforce plan limits, and to provide customer support
We do not sell your personal data. We do not use your fleet records, document details, photos or contacts for advertising. On the free plan, ads are served by Google AdMob using an advertising identifier and device data only (see Section 12); paid plans are ad-free.
4. Third-party services (data processors)
We use the following trusted providers to operate the App. Your data is processed by them only to provide the service:
- Google Firebase (Authentication, Cloud Firestore) — secure sign-in and cloud storage/sync of your fleet data. Google Privacy Policy
- Google Sign-In — to authenticate you with your Google account.
- Google Generative AI (Gemini API) — to read text from document images you scan (OCR). See Section 5.
- Google Sheets API & Google Drive (drive.file scope) — only when you choose “Export to Google Sheet”, to create a spreadsheet in your own Google Drive. The App can only access files it creates; it cannot see your other Drive files.
- Google Play Billing — to process subscription purchases. Google handles the payment; we never receive or store your payment card details.
- RevenueCat — our subscription-management provider. It receives your account identifier (a per-account user id) and your purchase / subscription history (the plan you buy, renewals, expiry) to validate entitlements and unlock paid features across your devices. 5. AI / OCR processing
When you scan a document, the photo (and, where applicable, extracted text) is sent to Google’s Generative AI (Gemini) service to detect fields such as document type, number and expiry date. This processing is used solely to fill in your document details. Images are processed to return the result and are not used by us for any other purpose. Manual entry is always available and never uses AI.
6. Google Drive access (drive.file)
If you use the Export to Google Sheet feature, we request the https://www.googleapis.com/auth/drive.file permission. This is the most limited Drive scope: it lets the App create and manage only the spreadsheet files it creates on your behalf. We never request access to your existing Drive files, and we do not read, modify or delete anything the App did not create.
FleetDoc’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
7. Data storage and security
On your device — encrypted data
Fleet records (person profiles, vehicle and asset profiles, document details, and person-to-vehicle links) are encrypted at rest using AES-256-CBC. On first install, a 256-bit encryption key is generated randomly and stored via the platform secure storage system (Android Keystore), so the key cannot be extracted from device storage. Each write uses a fresh random initialisation vector.
On your device — other app data
Your display name, company name, phone number, notification preferences, and subscription status are stored using the platform’s standard preferences storage and are not additionally encrypted.
Photos
Profile and document photos are stored as files in the app’s private data directory and are not encrypted. Photos are not uploaded to the cloud. If you uninstall the app, photos must be re-added manually.
In the cloud (signed-in users)
Your fleet records are mirrored to Google Cloud Firestore under your account UID. Google applies encryption at rest to all Firestore data at the infrastructure level. Firestore security rules prevent any other account from accessing your data.
Cloud backups (Pro / Fleet)
Point-in-time snapshots are stored in a separate Firestore sub-collection (/users/{uid}/backups). The most recent snapshots are retained; older ones are deleted automatically. Google infrastructure-level encryption applies.
We apply industry-standard security practices. No method of storage or transmission is 100% secure and we cannot guarantee absolute security.
8. Data retention
- Your fleet data is retained while your account is active.
- Backups: the most recent snapshots are retained automatically (older ones are deleted).
- You can delete your data at any time (see Section 9).
9. Your rights and choices
- Access / export: export your data to PDF/Excel/CSV or Google Sheet at any time from within the App.
- Correction: edit or delete any record in the App.
- Clear data: “Clear all data” removes your records from the device and your synced cloud copy.
- Delete account (in-app, self-serve): open Settings → (your profile) → Delete account to permanently delete your account and all data — fleet records, photos and backups — from this device and the cloud. This cannot be undone. You may alternatively email mk021375@gmail.com with the subject “Request for Account Deletion” and we will delete your data within 30 days.
Depending on your location, you may have additional rights (access, rectification, erasure, portability, objection). Contact us to exercise them.
10. Children’s privacy
FleetDoc is a business tool and is not directed to children. We do not knowingly collect data from children.
11. International transfers
Your data may be processed on Google’s and RevenueCat’s servers in regions outside your country. These providers maintain safeguards for such transfers as described in their privacy policies.
12. Advertising
FleetDoc’s free plan is supported by ads served through Google AdMob. To display and measure these ads, AdMob (and Google as its partner) uses an advertising identifier and device/technical information. AdMob does not receive your fleet records, document numbers, photos or contacts.
Paid plans (Pro Solo and Fleet) are completely ad-free — no ads are shown and no advertising data is collected from paid users.
You can control ad personalisation and reset your advertising ID in your device settings (Settings → Google → Ads on Android). Learn more about how Google uses advertising data at

13. Changes to this policy
We may update this Privacy Policy from time to time. We will revise the “Last updated” date above and, where appropriate, notify you in the App.
